Procurement software cost and procurement software pricing compared across 13 vendors

Procurement software for a US company with 50 to 500 staff costs anywhere from about 1 000 USD to more than 90 000 USD a year. Tools with published prices sit between 99 and 2 550 USD a month, while quote-only suites such as Coupa, Zip and Procurify have reported medians of 15 000 to 95 000 USD a year before implementation. The three things that move the bill most are how the vendor counts users, which modules you need, and whether you must pay a year up front.

Below are the prices each vendor publishes on its own pricing page, checked in October 2026, and for quote-only vendors the ranges reported by Vendr, a SaaS purchasing marketplace that publishes median contract values from real deals. Vendor prices change, so treat the table as a starting point and confirm before you budget.

Procurement software pricing falls into three bands

The 13 vendors above sort into three groups, and the group usually matters more than the vendor.

  • Under 5 000 USD a year. Approval tools and lighter purchasing apps: Tradogram Essentials, ApprovalMax, Spendwise for small teams, ControlHub Approvals and Procurer. You get requests, approvals and purchase orders. Receiving, matching and budgets vary a lot by plan, so read the feature grid, not the headline.
  • 5 000 to 30 000 USD a year. Mid-market purchase-to-pay with annual terms: Precoro, ProcureDesk, ProcurementExpress Better and Best, and many Procurify deals. Setup help is often included, contracts are usually yearly, and the price climbs with users or spend.
  • 30 000 USD a year and up. Suites sold through sales cycles: Coupa, Zip and the upper range of Procurify. Expect multi-year terms, separate implementation fees and modules for sourcing, contracts and supplier risk.

A 150 person company that needs requests, approvals, POs, receiving and three-way matching can be served from every band. The difference is how much else it pays for.

What drives the cost of procurement software

Four pricing decisions explain most of the gap between a 1 000 USD and a 90 000 USD contract.

1. How users are counted. Per-user pricing (Spendwise, or Ramp, where one customer reported the procurement add-on priced on all Ramp users) grows every time someone needs to request or approve. Per-company pricing with a user pool, as on Procurer, or unlimited requesters, as on ControlHub, keeps casual requesters free.

2. What the price is tied to. Some vendors price on volume instead of seats: ApprovalMax by approved documents a month, ProcurementExpress by the spend you run through it. A busy month or a large order can push you into the next tier.

3. Modules. Suites split sourcing, contracts, supplier management, AP and analytics into separate line items. If you need only purchasing, make sure you are not quoted for the suite.

4. Billing terms and implementation. Precoro and ProcureDesk list annual billing, and enterprise suites usually sign for three years with implementation priced separately. Paying 12 months up front is a cash decision as much as a price decision.

Hidden costs to ask about before you sign

List prices leave out the items that show up on the first invoice or at renewal. Ask every vendor for these in writing:

  • Implementation and onboarding fees, and whether a premium setup is required for your ERP.
  • Accounting or ERP integration add-ons, which several vendors sell separately from the base plan.
  • The cost of the next user tier, the next spend tier or document overage.
  • SSO, API access and a supplier portal, which often sit one plan above the entry tier.
  • Renewal uplift caps. Even a small yearly increase on a 50 000 USD contract compounds over a three-year term.

A simple test is to ask for the total cost of the first two years for your real user count, in one number.

Procurement software cost for a 120 person company

A US distributor with 120 staff has 40 people who raise purchase requests, 8 approvers, a controller and two AP clerks. It needs multi-step approvals, department budgets, three-way matching and a QuickBooks Online bills export.

  • Spendwise Pro for 50 users: 950 USD a month, or 11 400 USD a year.
  • Precoro Core: about 5 988 USD a year paid up front, before user tier and add-ons.
  • ProcureDesk Growth for 20 named users plus 30 more: 1 250 plus 600 USD a month, about 22 200 USD a year.
  • Procurer Business, up to 100 users: 299 USD a month, or 1 788 USD a year billed yearly.

The cheapest option is not automatically right. Precoro bundles expense management, and suites add sourcing and contracts. But if the job is purchase requests through to matched invoices, the per-company price is a fraction of the alternatives. Procurer publishes four plans priced per company. Team costs 149 USD a month for up to 25 users, Business 299 USD a month for up to 100 users with three-way matching and budgets with commitments, Scale 699 USD a month for up to 300 users and 5 legal entities, and Enterprise 1 299 USD a month. Billing yearly halves the monthly price, so Team is 888 USD a year. The plans list no separate implementation fee, and approved bills export to QuickBooks Online and Xero on every plan. Why do procurement software vendors hide their prices?

Quote-only vendors price on several variables at once: modules, user types, transaction volume, entities and contract length. That makes a list price hard to print, and it also leaves room to negotiate. Ask for a two-year total for your real headcount so quotes can be compared.

Is there an implementation fee for procurement software?

Often, yes. Enterprise suites usually price implementation separately: Vendr reports 25 000 to 100 000 USD of implementation on Coupa deals for 100 to 500 person companies, and several mid-market tools sell premium onboarding. Procurer plans list no separate implementation fee, and most teams are live within a week.
