Procurement software features, from request to payment
Procurer covers the whole purchase, from the moment an employee asks for something to the moment finance pays the supplier and reports the spend. This page walks through every feature area, shows which plan includes it, and links to the detailed page for each one. The short version: requests, approvals, purchase orders and receiving on every plan, three-way matching and spend analytics from Business, supplier portal, contracts and RFQs from Scale.
Nine feature areas in one procurement system
Most mid-size companies buy the same way: someone needs something, a manager says yes, finance hopes the invoice matches. Procurer turns that into one path where each step leaves a record and each record is linked to the next.
- Purchase requests: a one minute form with item, quantity, price, supplier, department, custom fields and attachments. The requester sees status at every step.
- Approval workflows: rules by amount and department on Team (up to 2 approval steps), unlimited steps and conditional rules by category, amount, project and supplier from Business. Details on purchase order approval software.
- Purchase orders: generated from the approved request, numbered, sent to the supplier as PDF by email, with every change tracked.
- Receiving: full and partial receipts against each PO line, recorded by the person who took delivery.
- Three-way matching: invoice, PO and receipt compared line by line with tolerance rules, from Business. See three way match software.
- Budgets: department budgets with the remaining balance on every request on Team, and budgets by department, project and GL account with commitments and actuals from Business. See budget control software.
- Spend analytics: spend by supplier, category, department and month, from Business. See spend analytics software.
- Supplier records: a supplier directory on every plan, catalogs and preferred suppliers from Business, a supplier portal and onboarding checks on Scale. See vendor management software and supplier portal software.
- Contracts and sourcing: contracts linked to suppliers with renewal alerts and RFQs with quote comparison, on Scale. See procurement contract management software.

Purchase requests and purchase orders on every plan
The request is where control starts. A requester picks a supplier from the directory or types a new one, adds lines with quantity and unit price, chooses the department and attaches a quote. Before anyone approves, Procurer shows the remaining department budget next to the request total, so a manager approving 4 200 USD of furniture sees that Facilities has 6 800 USD left this quarter. Once the last approver says yes, the purchase order is created from the request: same lines, a sequential PO number, supplier payment terms from the supplier record, and a PDF emailed to the supplier. Requesters never retype anything. The full flow is described on purchase order software and, step by step, on how it works.
- Custom fields for things your process needs: cost center, asset tag, delivery address, business justification.
- Attachments stay on the request and follow it to the PO.
- Changes to an issued PO are versioned and can require approval again.
Receiving and three-way matching before payment
When goods arrive, the person who took delivery records what came: 40 of 50 chairs today, 10 next week. That receipt is the second leg of the match. From Business, supplier invoices are sent to a dedicated email inbox, their lines are read and matched to the PO and the receipt. An invoice for 50 chairs when 40 were received is held with the reason shown; an invoice within your tolerance (for example 2 percent or 50 USD on price) passes and is ready to sync as a bill. The mechanics and a worked example are on three way match software and in our guide to the three-way match.
Integrations, single sign-on and audit trail
Approved bills and suppliers sync to QuickBooks Online or Xero on every plan, and to NetSuite or Sage Intacct on Scale. Business adds approvals from Slack and Microsoft Teams. Scale adds Google and Microsoft single sign-on, custom roles, an API and webhooks; Enterprise adds SAML SSO, SCIM provisioning and segregation of duties rules. Every approval, edit and sync is recorded in the audit log with who and when. See procurement software integrations and security.
Which procurement software features are on every plan?
Purchase requests with custom fields and attachments, approval workflows, purchase orders sent by email as PDF, full and partial receiving, a supplier directory, department budgets, CSV export and QuickBooks Online or Xero sync are on every plan, starting with Team at 149 USD per month.
From which plan is three-way matching included?
Three-way matching with tolerance rules and invoice capture by email inbox are included from Business, at 299 USD per month or 249 USD per month billed yearly.
Do requesters count against the user limit?
Yes, every person who signs in is a user account, and the limits are generous on purpose: 25 on Team, 100 on Business, 300 on Scale and unlimited on Enterprise. There is no extra per-seat fee inside those limits.
Which features need Scale?
The supplier portal, supplier onboarding with W-9, insurance and bank detail checks, contracts with renewal alerts, RFQs with quote comparison, NetSuite and Sage Intacct sync, Google and Microsoft single sign-on, custom roles, the API and webhooks, 5 legal entities and unlimited purchase orders.
How long does setup take?
Days, not months. You import suppliers from a CSV, pick approval rules from templates, set budgets and connect accounting. Scale includes a dedicated onboarding manager.
Can we try Procurer before we pay?
Yes, with the interactive demo, and there is no free plan. The demo lets you route a purchase request through approvals, budget and matching without an account, and every plan is a monthly or yearly subscription you can cancel any time.
