1. What a payment covers
A monthly or yearly plan opens Procurer to your company for that period: purchase requests, approvals, purchase orders, receiving, invoice matching, budgets, supplier records and spend analytics, within the tier shown on the pricing page. The whole period is available from the moment it is paid. The price is the same whether your team raised five hundred purchase orders that month or none, because you pay for access during the period rather than for usage.
By subscribing you ask us to start the service straight away and accept that any statutory right of withdrawal or cooling-off period ends once it has begun.
2. Cancelling renewal
Plans renew automatically. You can cancel at any time from billing in your workspace, without contacting us. No further period is charged, and the workspace keeps running until the paid period ends. The rest of a period is not refunded, and moving to a lower tier gives no money back for time already paid.
A renewal that has already been charged stays charged, and you keep that period. If a renewal payment fails, it is still due for a period that has begun, so the card is retried over the following days. The retries collect one unpaid invoice and are not new charges, and a renewal paid after them is not refundable. To avoid a renewal, cancel before the date shown in billing.
3. What we do not refund
- Your company changed its purchasing process, chose another tool or no longer needs procurement software.
- Few or no requests, orders or invoices went through Procurer during a paid period.
- Delays or errors caused by a supplier, an accounting system you connected or data your team entered.
- A renewal you forgot to cancel, or cancelled just after it was charged.
- Expecting a one-time purchase. Every plan is a recurring subscription, as the pricing page, checkout, confirmation email and billing all state.
- A feature that is not described on the pricing page, or that works differently from what you assumed.
- Choosing the wrong tier or billing period.
- Use of the workspace by someone you shared login details with.
4. The three exceptions
A charge is returned only in one of these cases, only when our records support it, and up to the amount paid for the affected period.
- Double billing. A fault in our billing charged your company twice for the same period.
- An unauthorised charge you can show. The card was used without permission, you report it within 14 days of the charge, and our records and our payment operator's records confirm it. A claim alone is not proof, and we may ask you to confirm that the card issuer was told.
- Total failure of the service. A confirmed fault on our side made Procurer entirely unusable for a continuous period, you reported it at the time, and we could not resolve it. Slow pages, one integration being unavailable and problems with your own devices or network are excluded.
An approved return goes to the card that was charged, is our whole liability for that charge, and gives no right to a further return. Enterprise agreements invoiced by bank transfer follow the payment terms of their order form.
5. How to ask for a review
Email [email protected] from the address on your account within 14 days of the charge, with its date and amount and the exception you rely on. Requests made later or by another route are not reviewed, and declined requests are not reopened.
6. Records we keep
Creating an account means accepting the Terms of Service and the Privacy Policy, including this policy. Before payment the checkout shows the tier, the price, the billing period and the automatic renewal, and the confirmation email and billing repeat them.
For every subscription we keep the purchase time, the tier and price shown, the acceptance of the terms, the emails we sent about it, and the workspace activity log, including sign-ins, users invited, requests, approvals and purchase orders, with the technical details recorded beside each entry. Our payment operator keeps its own record of each charge, including the card's country of issue, where the payment came from and the result of bank authentication such as 3D Secure. Claims of an unauthorised charge are checked against these records.
7. Chargebacks
Write to us before going to your bank. Opening a chargeback without contacting us first breaches the Terms of Service and leads to permanent closure of the workspace. When a dispute is opened, we give the card issuer the records described above.
8. Purchases before this policy
Subscriptions bought before October 14, 2026 stay under the terms that applied on the day of purchase.
