The pattern is clear. Per user tools are cheapest for a handful of buyers, spend capped and annual-only tools jump in price once volume grows, and per company pricing wins when the number of requesters climbs.
What a small business actually needs from purchasing software
Most small businesses do not need sourcing events, supplier risk scores or catalogs with 50 000 items. They need five things, and a tool that misses one of them pushes the work back to email.
- A request form anyone can use. If only buyers have a login, everyone else asks by email and the PO is raised after the fact.

Two caveats. Spendwise lists accounting integrations as an add-on, and the Spendwise figure grows by 228 USD a year for every additional user. Procurer stays at 1 488 USD up to 25 user accounts and 250 purchase orders a month, and moves to Business at 2 988 USD a year when you need three-way matching or more users.
When QuickBooks or Xero alone is enough
Your accounting software may already cover you. QuickBooks Online includes purchase orders on Plus and Advanced, but its purchase order approval workflow is on Advanced only, with one workflow active at a time. Xero includes purchase orders with a single approval step by anyone holding approve permission, and no rules by amount or department. Both are fine when one person buys and the owner glances at every order.
They stop being enough when you need a second approver above a threshold, budgets by department, or receiving before payment.
