Which Spendwise plan does a growing company actually need?
Basic looks cheap at 9 USD, but two limits decide the plan for most companies.
- 10 transactions a month. A company that raises three or four purchase orders a week passes that in the first half of the month. Basic suits a very small office with a handful of orders.
- No approval workflows. Approval limits, workflows and budgets are listed on Pro. If your policy says a manager signs off above 1 000 USD and finance above 10 000 USD, you are on Pro.
- Five users at most. Requesters, approvers and the person who receives deliveries all count, so a team of six is already past Basic.
In practice Basic is a starter plan and Pro is the real Spendwise price for any company with an approval policy. Pro then starts at 5 users, 95 USD a month.
Spendwise cost per year for 5 to 50 users
Per user pricing is simple to read and easy to underestimate, because every new requester or approver raises the bill. Here is Pro next to Procurer at the same headcount, using list prices and no add-ons.

On monthly billing Procurer Team is 149 USD, which Spendwise Pro passes at 8 users. On yearly billing Procurer is cheaper at every Pro headcount. Spendwise Basic at 5 users and 45 USD a month is cheaper than both, as long as you stay under 10 transactions and do not need approvals.
What Spendwise really costs once add-ons are counted
The per user price is only one line. Before you sign, list every cost line so the total is clear.
- Seats. Count everyone who touches a purchase: requesters, each approver in the chain, receivers on the dock and AP. A 120 person company with 35 requesters and approvers is at 665 USD a month on Pro.
- Accounting integration. Connecting QuickBooks, Xero or another system is an optional add-on with no published price. Without it someone retypes bills, and at the very least you will want to convert the bank CSV export into a QuickBooks file so payments land in the ledger without manual entry.
- Implementation. Offered as an add-on on Pro and included on Enterprise.
- Inventory and Amazon. Each is an add-on if you need stock tracking or Amazon ordering.
- The 50 user cap. Growing past 50 users moves you to an Enterprise quote, where the price is no longer public.
Ask Spendwise for the first year total across all five lines for your real headcount, then compare that single number.

Spendwise is a good fit for a very small team that wants inventory or Amazon ordering inside the purchasing tool. Procurer is the simpler buy once more than a handful of people request and approve, because headcount no longer moves the price.
A 70 person agency comparing both tools
A US marketing agency with 70 staff runs QuickBooks Online. Eighteen people buy things: account leads ordering production work, the office manager, IT, two department heads, the controller and the COO. Policy is department head approval up to 2 500 USD and COO above that, and the controller wants budgets by client and department.
- On Spendwise: approvals and budgets mean Pro. Eighteen users at 19 USD is 342 USD a month, 4 104 USD a year, plus the QuickBooks integration add-on. Hiring two more account leads adds 456 USD a year.
- On Procurer: Team at 888 USD a year billed yearly covers up to 25 users with the two step approval chain, department budgets, receiving and the QuickBooks Online bills file. Client level budgets and project coding sit on Business at 1 788 USD a year.
- What they give up with Procurer: inventory management and the Amazon integration.
The approval and budget flow is walked through on purchase order approval software, and the whole cycle on purchase order software.
When Spendwise is worth the price
- Five or fewer people touch purchasing and you place under 10 orders a month, so Basic at up to 45 USD a month covers you.
- You need inventory tracking or Amazon ordering inside the same tool.
- Your team is small and stable, so per user pricing stays low for years.
If more people need to request and approve than you want to pay seats for, a per company plan fits better. The side by side with other small team tools is in procurement software for small business, and Spendwise against Procurify is covered on our Procurify alternative page.

What is a cheaper alternative to Spendwise for bigger teams?
Procurer charges per company, not per user. Team costs 149 USD a month, or 888 USD a year billed yearly, for up to 25 users, and Business costs 299 USD a month for up to 100. A 30 user team pays 570 USD a month on Spendwise Pro and 299 USD on Procurer Business.
