How much does ProcurementExpress cost?
The prices below come from procurementexpress.com/pricing, checked in September 2026. The page shows monthly prices and a 14 day trial with no card required. It does not list a separate annual rate. User limits are taken from the ProcurementExpress listing on Capterra, because the pricing page itself does not show them.

Older figures still circulate. Some review sites quote 365, 730 and 1 825 USD per month, which is an earlier price list. Budget on the current numbers and ask sales to confirm them in writing.
What you get on Basic, Better, Best and Enterprise
The plans step up on three things at once: spend volume, integrations and help with setup.
- Basic. Purchase requests, approvals, purchase orders, budget tracking, basic reporting and QuickBooks integration, with self service setup and one organization.
- Better. Adds standard reporting, Sage 50 integration and Amazon PunchOut, and raises the monthly spend cap to 1 million USD.
- Best. Adds a dedicated implementer, Sage 200 integration, scan and match of invoices, PunchOut to more than 100 stores and up to 5 organizations.
- Enterprise. Adds NetSuite and Dynamics integrations, custom PunchOut stores, Okta and Azure sign in, SFTP access, advanced reporting and an account manager.
Two details matter for a finance lead. Invoice scan and match only arrives on Best at 2 550 USD a month, so a team that wants matching of POs to invoices pays the top listed price. And NetSuite sits on Enterprise, which is quoted, so a NetSuite company cannot use the published prices at all.
Why the spend cap sets your ProcurementExpress plan
Most procurement tools price by users. ProcurementExpress also prices by how much you buy through the system, and the Basic cap is low. A company with 80 staff that routes office supplies, IT, maintenance and job materials through purchase orders will pass 10 000 USD in a month quickly, often in the first week. That moves it to Better at 10 800 USD a year even if only a handful of people ever approve anything.
The same logic applies at the top. A distributor or contractor that buys more than 1 million USD a month through POs lands on Best at 30 600 USD a year, and above 10 million on Enterprise. Before you compare quotes, pull twelve months of purchase spend from your accounting system and find your peak month. That number, not your headcount, tells you which plan you are really pricing.
Procurer does not cap spend. Plans are set by user accounts and purchase order count: Team covers up to 25 user accounts and 250 POs a month, Business up to 100 user accounts and 1 500 POs a month, and Scale up to 300 user accounts with unlimited POs.
ProcurementExpress cost compared at three company sizes
The table picks the lowest ProcurementExpress plan that fits both the monthly spend and the user count, and the lowest Procurer plan that fits users and PO volume. Procurer figures are yearly billing.
| Company | Lowest ProcurementExpress plan | Per year | Lowest Procurer plan | Per year |
|---|---|---|---|---|
| 40 staff, 8 buyers, 25 000 USD a month through POs | Better | 10 800 USD | Team | 1 488 USD |

The gap is widest in the middle, where a company buys too much for Basic but has no need for the implementer and multi company features that Best adds. If three-way matching matters, note that Procurer includes it from Business, while ProcurementExpress lists scan and match on Best.

If your books are in Sage 50 or Sage 200, or your team buys mostly through Amazon and other PunchOut stores, ProcurementExpress covers that and Procurer does not. If you run QuickBooks Online, Xero or NetSuite and want approvals, POs, receiving and matching for a growing group of requesters, the per company price is usually the cheaper route.
A 150 person distributor pricing both tools
A US industrial supply distributor with 150 staff runs QuickBooks Online. Twenty people raise or approve purchases: branch managers, the purchasing lead, the warehouse manager, the Controller and the CFO. Purchase spend through POs averages 400 000 USD a month and peaks near 700 000 USD in spring. Policy is manager approval above 1 000 USD and Controller approval above 10 000 USD, and AP wants invoices matched to receipts before payment.
- On ProcurementExpress: spend puts them on Better at 900 USD a month, 10 800 USD a year. Scan and match of invoices is listed on Best, so matching before payment means 2 550 USD a month, 30 600 USD a year.
- On Procurer: Business at 249 USD a month billed yearly, 2 988 USD a year, covers up to 100 user accounts, unlimited approval steps, three-way matching and QuickBooks Online sync.
- What they give up with Procurer: Amazon PunchOut and a dedicated implementer.
Over three years the gap is about 23 000 USD against Better and about 83 000 USD against Best. The approval setup for this company is walked through on QuickBooks Online purchase order approval.
When ProcurementExpress is worth the price
- Your accounting runs on Sage 50 or Sage 200 and you want a native connection.
- Most of your buying happens through Amazon Business and other PunchOut stores.
- You spend under 10 000 USD a month through POs, so Basic covers you.
- You want a dedicated implementer and several companies on one account, and Best fits your budget.
