Procurer costs 149, 299 or 699 USD per month per company, with 25, 100 or 300 user accounts included, billed monthly or yearly.

What is the best ProcureDesk alternative?
The best ProcureDesk alternative depends on what is pushing you away. If the cost of adding users is the problem, choose a tool priced per company with a large user pool, which is how Procurer is sold. If you need a global spend suite, Coupa is the bigger option. If you want purchasing, cards and expenses from one vendor, look at Procurify. If your team is small and lives in QuickBooks, ProcurementExpress is a lighter option with monthly list prices.
Why do companies look for ProcureDesk alternatives?
ProcureDesk is a solid purchasing and AP product with done for you onboarding, and many small finance teams are happy on it. The buyers who start comparing usually give one of these reasons.
- Seats grow faster than the budget. Startup includes 10 users and Growth 20. Every branch manager, project lead or warehouse supervisor who needs to raise or approve a request adds 20 USD a month, so a company with 60 people in the process pays about 24 600 USD a year on Growth.
- The ERP sets the plan. NetSuite, Sage Intacct and Business Central start at Growth, 15 000 USD a year, even for a company that only needs basic purchase orders.
- Annual is the default. The pricing page shows annual prices and says annual billing saves 20 percent, so month to month terms cost more than the headline number.
- Scope. ProcureDesk bundles AP automation and employee expenses. Teams that already run an expense tool and an AP tool sometimes want a purchasing layer only.
If none of these apply and ProcureDesk works for you, a switch costs time for little gain. If one does, the comparison below shows the difference in numbers.

Where ProcureDesk is stronger: expenses and deeper AP in the same product, cash flow forecasting and close lock on Growth, and a guided rollout on every plan. Where Procurer is stronger: a much lower entry price, a large user pool per plan so everyone who buys can be on the system, and monthly terms at the same features.
ProcureDesk alternative cost at 10, 30 and 60 users
Per user pricing is where the two models split. The ProcureDesk figures are list prices billed yearly plus 20 USD per extra user per month, before any discount you negotiate. Procurer figures are yearly billing.
| People who request or approve | ProcureDesk Startup | ProcureDesk Growth | Procurer |
|---|---|---|---|
| 10 | 9 960 USD a year | 15 000 USD a year | 1 488 USD a year on Team |
| 30 | 14 760 USD a year | 17 400 USD a year | 2 988 USD a year on Business |
| 60 | 21 960 USD a year | 24 600 USD a year | 2 988 USD a year on Business |
| 150 | 43 560 USD a year | 46 200 USD a year | 6 948 USD a year on Scale |
Team caps at 250 purchase orders a month and Business at 1 500, so a company with very high PO volume and few users may land on a higher Procurer plan than headcount alone suggests. The plan limits are on the procurement software pricing page, and the full ProcureDesk plan breakdown is in our ProcureDesk pricing article.

What you get from Procurer on every plan
Procurer covers the purchase to pay cycle a controller runs every week, without separate modules on separate quotes.
- Purchase requests with custom fields, attachments and a budget check before anyone submits.
- Approval rules by amount and department on every plan, and from Business unlimited steps with conditional rules by category, project and supplier, plus approvals in Slack and Microsoft Teams. See purchase order approval software.
- Purchase orders created from the approved request and emailed to the supplier as a PDF with your terms.
- Full and partial receiving, line by line, by the person who signed for the delivery.
- Three-way matching of PO, receipt and invoice with tolerance rules from Business. See three way match software.
- Department budgets on every plan, project and GL budgets with commitments from Business.
- On Scale, a supplier portal, contracts with renewal alerts, RFQs, up to 5 legal entities, NetSuite and Sage Intacct, SSO and an API.
Matched bills sync to QuickBooks Online, Xero, NetSuite or Sage Intacct, ready for payment. Companies on QuickBooks Online can see the approval layer step by step on QuickBooks Online purchase order approval, and Xero companies on Xero purchase order approval.
A 120 person contractor comparing the two
Take a US mechanical contractor with 120 staff on NetSuite. Forty five people raise or approve purchases: project managers, superintendents, the shop foreman, the purchasing lead, the Controller and the CFO. Policy is project manager approval up to 2 500 USD, Controller above 2 500 USD and CFO above 20 000 USD, and every job has its own budget.
On ProcureDesk, NetSuite means Growth. Growth includes 20 users, so the other 25 add 500 USD a month. That is 1 750 USD a month billed yearly, or 21 000 USD for the year before any discount.
On Procurer, NetSuite means Scale. Scale includes up to 300 user accounts, 5 legal entities, project budgets with commitments and three-way matching, for 579 USD a month billed yearly, or 6 948 USD for the year. If the contractor moved to QuickBooks Online, Business at 2 988 USD a year would cover the same 45 people.
What they give up with Procurer is expense reports and cash flow forecasting, which this contractor already runs in its payroll and banking tools. For contractors, our construction purchase order software page shows the job costing setup.
How to switch from ProcureDesk to Procurer
Most mid-size companies move in one to two weeks and run both tools until the ProcureDesk renewal date, so no request is left half approved.
1. Export suppliers and open purchase orders from ProcureDesk to CSV and import them into Procurer, with payment terms and default accounts.
2. Rebuild approval rules from templates. A common matrix is manager above 1 000 USD, Controller above 5 000 USD and CFO above 25 000 USD.
3. Load department and project budgets, then connect QuickBooks Online, Xero, NetSuite or Sage Intacct so account codes and classes match.
4. Invite requesters, swap the purchase request link on your intranet or in Slack, and close open ProcureDesk POs as they are received and billed.
Business includes an onboarding session and Scale a dedicated onboarding manager. The full flow is on how it works.
When ProcureDesk is the better choice
Pick ProcureDesk, or stay on it, when:
- You want purchasing, AP automation and employee expenses from one vendor and will use all three.
- You value a done for you rollout with a set go live date more than a lower price.
- Ten or twenty users cover everyone who buys, so per user pricing never bites.
- You need close lock and cash flow forecasting inside the procurement tool.
If what you need is every purchase requested, approved, ordered, received and matched before payment, by a large group of requesters at one company price, Procurer is built for that.
Procurer pricing published per company
Team costs 149 USD per month (124 USD billed yearly) for up to 25 user accounts, 2 approval steps, department budgets and QuickBooks Online or Xero sync. Business costs 299 USD per month (249 USD billed yearly) for up to 100 user accounts and adds unlimited approval steps, three-way matching, project and GL budgets, catalogs and spend analytics. Scale costs 699 USD per month (579 USD billed yearly) for up to 300 user accounts, 5 legal entities, a supplier portal, NetSuite and Sage Intacct, SSO and an API. Enterprise is quoted.
Who are ProcureDesk's competitors?
ProcureDesk's main competitors on US shortlists are Procurify, Precoro, ProcurementExpress, Coupa, Order.co, Tradogram, Spendwise and Procurer. Coupa leans enterprise, Procurify and Precoro bundle expenses with purchasing, ProcurementExpress targets small QuickBooks and Sage teams, and Procurer prices per company for mid-size teams with many requesters.
Is there a cheaper alternative to ProcureDesk?
Yes. Procurer starts at 149 USD per month per company with 25 user accounts, and Business at 299 USD per month covers up to 100 user accounts with three-way matching and project budgets. ProcureDesk's listed entry price is 830 USD per month billed yearly for 10 users, plus 20 USD for each extra user.
How much does ProcureDesk cost per user?
ProcureDesk charges 20 USD per user per month above the users included in the plan, which are 10 on Startup and 20 on Growth. At 30 users that works out to about 14 760 USD a year on Startup and 17 400 USD on Growth, billed yearly, before any negotiated discount.
Does ProcureDesk integrate with NetSuite?
Yes, from the Growth plan, which lists NetSuite, Sage Intacct and Business Central integrations at 1 250 USD per month billed yearly. Startup covers QuickBooks, Xero and Bill.com. Procurer connects to QuickBooks Online and Xero on every plan and to NetSuite and Sage Intacct on Scale.
Can I move my ProcureDesk data to Procurer?
Yes. Suppliers and open purchase orders export from ProcureDesk to CSV and import into Procurer, and approval rules are rebuilt from templates, which usually takes an afternoon. Enterprise also includes migration of historical POs and supplier records.
