How much does ProcureDesk cost?

The figures below come from procuredesk.com/pricing, checked in September 2026. The page shows annual prices by default and says annual billing saves 20 percent, so month to month terms cost more than the numbers in this table.

ProcureDesk also lists a 30 day money back guarantee, done for you onboarding with a go live in two to three weeks, a 90 day outcome guarantee on close time, and a 15 percent discount for nonprofits and charter schools. Older figures still circulate on software directories, such as 498 USD per month for 10 users on a purchasing plan and 790 USD per month with AP automation. Those were earlier price points, so plan with the current page and confirm in writing.

What you get on Startup, Growth and Enterprise

The plans differ less on purchasing and more on accounts payable depth, integrations and controls.

  • Startup. Requests, purchase orders, receiving and invoices, approval workflows, basic three-way match with OCR, expense reports, budget tracking, spend analysis, and QuickBooks, Xero and Bill.com integrations.
  • Growth. Everything in Startup plus advanced three-way match with unlimited OCR, month end close lock, a full audit trail, an expense compliance dashboard, supplier onboarding, cash flow forecasting, SSO and two factor sign in, NetSuite, Sage Intacct and Business Central integrations, custom reports and multi-entity structure.
  • Enterprise. Adds AI invoice classification and AP agents, a supplier self service portal, approval auto escalation, SAP S/4HANA, SOC 2 Type II documentation and a dedicated account manager.

Two details matter for budgeting. A company on NetSuite or Sage Intacct starts at Growth, 15 000 USD a year, whatever its size. And a full audit trail sits on Growth, which is worth checking if your auditors ask who approved each purchase.

ProcureDesk cost per year at 10, 30 and 60 users

Because users above the included number cost 20 USD each per month, the real annual price depends on how many people raise or approve requests. The table uses the yearly prices from the pricing page.

The ProcureDesk figures are the plan price plus 20 USD per extra user per month, before any discount you negotiate. Procurer figures are yearly billing; Team covers up to 25 user accounts and 250 POs a month, Business up to 100 accounts and 1 500 POs a month. Best for
ProcureDeskTeams that want AP, expenses and purchasing in one tool with guided setupProcurerMid-size companies that want PO control for every requester at a low fixed price

If you want one vendor for purchasing, AP and employee expenses, and you value a guided rollout, ProcureDesk is a reasonable choice. If the problem is purchase approvals, POs and matching for a large group of requesters, per user pricing is where the gap opens.

ProcureDesk costs to check before you sign

The published price is a good start, but a few items change the total.

  • Extra users. At 20 USD per user per month, 40 users beyond the included 20 on Growth add 9 600 USD a year.
  • Plan floor for your ERP. NetSuite, Sage Intacct and Business Central need Growth, and SAP needs Enterprise.
  • Billing term. The advertised prices assume annual payment; monthly billing costs more.
  • Supplier compliance. Supplier onboarding is a Growth feature. If most of that work is chasing insurance certificates, a dedicated certificate of insurance tracking tool may cover it for less than a plan upgrade.
  • Features only on Enterprise. SOC 2 Type II documentation, the supplier self service portal and approval auto escalation are listed on Enterprise, which is quoted.

A 45 person company comparing the two

A regional HVAC distributor with 45 staff runs QuickBooks Online. Thirty people raise or approve purchase requests: branch managers, warehouse leads, the service coordinator, the Controller and the owner. The policy is manager approval over 1 000 USD and Controller approval over 5 000 USD, and they want invoices matched to POs.

  • On ProcureDesk Startup: 830 USD plus 20 extra users at 20 USD is 1 230 USD a month billed yearly, 14 760 USD a year. Advanced matching with unlimited OCR would mean Growth, 17 400 USD a year for 30 users.
  • On Procurer Business: 249 USD a month billed yearly, 2 988 USD a year, with up to 100 user accounts, unlimited approval steps, three-way matching and QuickBooks Online sync.
  • What they give up with Procurer: expense reports and cash flow forecasting, which they already run in other tools.

Over three years the gap is roughly 35 000 USD at the Startup price. The same approval rules are shown step by step on QuickBooks Online purchase order approval.

When ProcureDesk is worth the price

  • You want purchasing, AP and employee expenses in one product.
  • You prefer a done for you rollout with a named team and a set go live date.
  • Your team is small enough that 10 or 20 users covers everyone who buys.
  • You need close lock and cash flow forecasting inside the procurement tool.

When most of your staff need to raise requests and your main goal is controlling spend before it happens, a per company price is usually the cheaper route. Our procurify alternative and precoro alternative pages compare the other tools in this price band.
