Bill.com purchase orders and when a dedicated purchase order system is the better buy

Bill.com does offer purchase orders, but not on every plan. Its pricing page lists the purchase request, purchase order, tolerance rule and 2-way matching features as a separate Procurement add-on on Essentials (49 USD per user per month) and Team (65 USD), and as included features on Corporate (89 USD) and Enterprise. Procurer is a purchase order system with a flat company price of 149 to 699 USD a month, for teams that want approval before the buy rather than payment after the bill.

Does Bill.com have purchase orders?

Yes. Bill.com creates and sends purchase orders with tolerance rules and 2-way matching. On Essentials and Team these come only through a Procurement add-on whose price is not published. Corporate includes them with unlimited purchase requesters at no charge. Enterprise adds PO syncing and automatic 2-way and 3-way matching, depending on your accounting software.

What each Bill.com plan includes for purchasing

We read the vendor pricing page in October 2026. Prices are per user per month for accounts payable and receivable, before transaction fees.

Payment fees apply on every plan. The page lists 0.59 USD per ACH or ePayment, 1.99 USD per check and 2.9 percent for pay-by-card. The page does not state billing cycles or contract terms, so confirm both in writing.

Where Bill.com purchase orders stop

Bill.com was built to capture, approve and pay vendor bills. Purchase orders were added to that flow, so the strongest part of the product is what happens after the invoice arrives. If your problem is what happens before it, check these points on a demo.

  • Who can raise a request, and whether the approver sees the remaining department or project budget at that moment.
  • Whether staff can receive goods line by line, including partial deliveries, so a short shipment is not paid in full.
  • Whether 3-way matching of PO, receipt and invoice is on your plan. The pricing page ties automatic 3-way matching to Enterprise.
  • How the cost grows when requesters and approvers are paid users. Corporate removes the charge for requesters, but approvers and finance staff still count.
  • What you pay in payment fees if you only wanted the purchasing control.

None of this makes Bill.com a poor product. If you want one tool to pay vendors and you already live in it, adding purchasing there can be the shortest path. The gap shows up when purchasing control is the main job.

Monthly cost for a team of 5 finance and operations users

Take a company with 5 users who approve, receive or code bills, 20 people who raise requests, and QuickBooks Online as the ledger. Bill.com figures use the list prices above, monthly, without the unpublished add-on or transaction fees.

On these list figures Corporate costs about 296 USD a month more than Procurer Team and 146 USD more than Business. That buys Bill.com's payment rails, which Procurer does not offer. If you pay vendors elsewhere, that difference pays for nothing you use.

A purchase order system that sits in front of your payments

Procurer handles the part before payment. A requester raises a request, the approver sees the remaining budget, the approved request becomes a PO with the right ship-to address, receiving records what arrived and finance exports the approved bill to QuickBooks Online or Xero. Procurer does not move money and does not pay vendors, so you keep the payment tool you already use.

  • Team, 149 USD a month or 888 USD yearly: requests, approvals, POs, receiving and accounting export.
  • Business, 299 USD a month or 1 788 USD yearly: conditional approval rules, 3-way matching, project and GL budgets and spend analytics.
  • Scale, 699 USD a month or 4 188 USD yearly: up to 300 user accounts, 5 legal entities and the supplier portal.

Pricing is per company, not per user, so adding requesters and approvers does not change the bill. Read more on three-way matching and approval workflows.

When to stay on Bill.com and when to add a purchase order system

Stay with Bill.com if vendor payment is the main job, you have a handful of buyers, and 2-way matching is enough. Add or switch to a purchase order system when department heads order without approval, deliveries are not checked against the invoice, or budgets are tracked in a spreadsheet after the money is gone.

If you also bill customers, the other side of the cash cycle matters. A tool that chases unpaid customer invoices by email and SMS covers receivables, which neither Bill.com purchasing nor Procurer replaces.

Does Bill.com have purchase orders?

Yes, but plan dependent. Essentials and Team need a separate Procurement add-on with an unpublished price. Corporate includes purchase requests, purchase orders, tolerance rules and 2-way matching with unlimited requesters. Enterprise adds PO syncing and automatic 2-way and 3-way matching, which varies by accounting software.

How much does Bill.com cost per user?

The pricing page lists Essentials at 49 USD, Team at 65 USD and Corporate at 89 USD per user per month, with Enterprise on a quote. Transaction fees come on top, for example 0.59 USD per ACH payment and 1.99 USD per check. Annual billing terms are not stated on the page.

Does Bill.com support 3-way matching?

The pricing page says Enterprise includes automatic 2-way and 3-way matching. Corporate lists 2-way matching, which compares the PO to the invoice. Three-way matching adds the receipt. Ask your rep which plan you need if you want to catch short deliveries before paying.

What is the best Bill.com alternative for purchase orders?

It depends on the gap. For paying vendors, look at AP and payment tools. For approvals, POs and receiving at a flat price, Procurer starts at 149 USD a month per company, with 3-way matching from 299 USD. Compare users, matching depth and your ledger before choosing.

Can I use Procurer with Bill.com?

Procurer exports approved bills to QuickBooks Online and Xero. It has no direct Bill.com connection, so check how your approved bills reach your payment tool before you run both. Many teams use Procurer for approval and receiving and pay from their ledger or bank.
